Security settings you can turn on

These settings are not enforced by default. You can turn them on in system settings to match your security policy. Required two-step verification and the IP allowlist are set by the administrator of the warehouse organization.

SettingWhat it does
De-identification of personal dataMasks or deletes recipient personal data once a shipped order passes the number of days you set.
Required two-step verificationAll console users or all warehouse staff must set up two-step verification before they can sign in. The two groups can be required separately.
IP allowlistThe console can only be used from your company network. Anyone who needs to sign in from outside must give a reason, which is logged.
Fingerprint and Face ID sign-inEach user can register their own device and sign in with a fingerprint, Face ID or device passcode instead of a password.
API key source restrictionIntegration API keys only work from the IP addresses you specify.
App inactivity sign-inThe mobile app requires signing in again after it has been idle for the time you set.

Personal data

De-identification after shipment

Opt-in

Once a shipped order passes the number of days you set, the system processes the recipient’s name, phone number, address and email. You can choose partial masking, which keeps some information for customer service lookups, or full deletion.

Secrets encrypted at rest

Built in

Sensitive data such as two-step verification secrets and e-commerce platform authorization tokens is stored encrypted in the database.

Access control

Client data isolation

Built in

Each client sees only its own products, orders and inventory. Warehouse staff can only access data belonging to their own warehouse organization, and organizations cannot access each other’s data. During development and testing, data queries are checked automatically to confirm the isolation conditions are applied.

Granular permissions

Configurable

Use roles or permission templates to set which features each person can see and which actions they can take.

IP allowlist

Opt-in

Restricts the console to your company network. Anyone who needs to sign in from outside must give a reason, and the system keeps a record.

API key protection

Built in

The system stores only the encrypted key, never the original. A key can be restricted to specific IP addresses, and regenerating a key invalidates the old one immediately.

AI assistant connections require authorization

Built in

Before an AI assistant can read warehouse data, the user must sign in and grant consent through the industry-standard OAuth authorization flow. Every change made by an AI assistant is labeled with its source in the audit trail.

Support access requires your authorization

Built in

GoWarehouse support can only enter your account to troubleshoot after you send an invitation. The authorization lasts 7 days and you can revoke it at any time. Each support session expires automatically after 45 minutes, and every entry and exit is logged.

Sign-in and accounts

Passwords are never stored in plain text

Built in

Passwords are stored only after irreversible hashing. No one can see a user’s original password, including GoWarehouse engineers.

Lockout after repeated failed passwords

Built in

After 10 consecutive failed password attempts, the account is locked out for 15 minutes to stop automated password guessing. This applies to the console, the warehouse web app and the mobile app.

Two-step verification

Opt-in

Supports one-time passcodes (OTP) from authenticator apps such as Google Authenticator, with 10 backup codes so you can still sign in if you lose your phone. Verification is paused for 15 minutes after 5 consecutive wrong codes, and a code cannot be used twice.

Fingerprint and Face ID sign-in (Passkey)

Opt-in

Sign in with your device’s own biometrics, such as a fingerprint or Face ID, or its screen lock, with no password to type. A passkey only works on the genuine GoWarehouse site, so a phishing site cannot obtain usable sign-in credentials.

Sessions expire

Built in

A sign-in session expires after 3 days and is extended automatically with continued use, but the web app always requires a fresh sign-in after 30 days at most. Signing out also invalidates “Remember me” on all devices.

One sign-in at a time for warehouse accounts

Built in

A warehouse account can be signed in to the web app on only one computer at a time. Signing in on another computer signs the first one out automatically. The same rule applies to the mobile app, and the web app and mobile app do not affect each other.

Audit trail

Every change is recorded

Built in

Every change to 16 document types, including orders and inbound receipts, records three things: who made it (a user, warehouse staff, an external integration or a scheduled job), where it came from (console, mobile app, API, AI assistant or import), and what changed.

Records cannot be tampered with

Built in

Audit records can only be added, never edited or deleted, so any dispute can be traced in full.

Network and connections

Encrypted connections everywhere

Built in

All connections use HTTPS encryption.

Rate limiting and scan blocking

Built in

Sign-in and authorization endpoints limit the number of attempts per minute. Common scanning behavior, such as attempts to read configuration files or look for admin interfaces, is rejected outright.

Protection against malicious web attacks

Built in

Pages can only load resources from approved sources. GoWarehouse pages cannot be embedded in other websites, which prevents fake pages from tricking users into clicking, and the system only accepts requests from GoWarehouse domains.

Signed outbound notifications

Built in

Every notification (webhook) GoWarehouse sends to your system carries a digital signature, so you can verify it really came from GoWarehouse and was not altered. Notification URLs that point to internal networks are rejected, so they cannot be used to reach internal systems.

Operations and mobile app

Daily database backups

Built in

The database is backed up automatically every day and can be restored if something goes wrong.

Centrally managed secrets

Built in

Database and server passwords are kept in Google Cloud’s secret management service and read only at deployment. They are never written into the code.

Continuous dependency updates

Built in

Automated tooling tracks new versions of the open-source packages the system uses and proposes upgrades as they are released.

App credentials kept in the phone’s secure storage

Built in

The mobile app keeps its sign-in credentials in the operating system’s secure storage, such as iOS Keychain or Android Keystore. They are bound to the signed-in device and rotated automatically.

Fingerprint and Face ID quick sign-in in the app

Opt-in

Warehouse staff can turn on fingerprint or Face ID sign-in for the app, so they don’t have to keep typing a password on the floor.

Sign-in required again after inactivity in the app

Configurable

You can set how long the mobile app may sit idle before it requires signing in again, so no one else can simply pick up an unattended or lost phone and use it.

Frequently asked questions

Personal data and storage

How does GoWarehouse prevent personal data leaks?

GoWarehouse protects personal data through isolation, de-identification and encryption. Each client sees only its own products, orders and inventory, and warehouse organizations cannot access each other’s data. Shipped orders can be set to have the recipient’s name, phone number, address and email masked or deleted automatically after a set number of days. Secrets such as e-commerce platform authorization tokens are stored encrypted. GoWarehouse is certified to ISO/IEC 27001:2022.

How long are a recipient’s name, phone number and address kept after shipment?

You decide. With de-identification turned on, GoWarehouse automatically processes the recipient’s name, phone number, address and email once a shipped order passes the number of days you set. There are two options: partial masking keeps some information for customer service lookups, and full deletion removes it entirely.

Can different clients see each other’s data?

No. In GoWarehouse each client sees only its own products, orders and inventory. Warehouse staff can only access data belonging to their own warehouse organization, and organizations cannot access each other’s data. During development and testing, data queries are also checked automatically to confirm the isolation conditions are applied.

Can GoWarehouse support staff enter my account directly?

No. GoWarehouse support can only enter your account to troubleshoot after you send an invitation. The authorization lasts 7 days and you can revoke it at any time. Each support session expires automatically after 45 minutes, and every entry and exit is logged.

Where is GoWarehouse data hosted, and is it backed up?

GoWarehouse is hosted on Google Cloud Platform. The database is backed up automatically every day and can be restored if something goes wrong. Database and server passwords are kept in Google Cloud’s secret management service and are never written into the code.

Certification and sign-in

Is GoWarehouse ISO 27001 certified?

Yes. GoWarehouse is certified to ISO/IEC 27001:2022 for information security management. If you need the certificate, request it through the contact form on our website.

Does GoWarehouse support two-step verification (OTP), and can it be required for everyone?

Yes. GoWarehouse two-step verification uses one-time passcodes (OTP) from authenticator apps such as Google Authenticator and provides 10 backup codes. The administrator of the warehouse organization can require all console users or all warehouse staff to set up two-step verification before they can sign in, and the two groups can be required separately.

Can I sign in to GoWarehouse with a fingerprint or Face ID (biometrics)?

Yes. The GoWarehouse web console supports passkeys, so you can sign in with your device’s fingerprint, Face ID or screen lock instead of a password. A passkey only works on the genuine GoWarehouse site, so a phishing site cannot obtain usable sign-in credentials. The mobile app also offers fingerprint or Face ID sign-in, so warehouse staff don’t have to keep typing a password on the floor.

How does GoWarehouse guard against password guessing and account takeover?

After 10 consecutive failed password attempts, a GoWarehouse account is locked out for 15 minutes to stop automated password guessing. Passwords are stored only after irreversible hashing, so not even GoWarehouse engineers can see the original. A warehouse account can only be signed in at one place at a time, so signing in elsewhere signs the original device out. With two-step verification turned on, signing in requires a verification code as well as the password.

Can I restrict GoWarehouse console sign-in to my company network?

Yes. With the IP allowlist turned on, the GoWarehouse console can only be used from your company network. Anyone who needs to sign in from outside must give a reason, and the system keeps a record. The IP allowlist is set by the administrator of the warehouse organization.

Can I still sign in with two-step verification if I lose my phone?

Yes. When you set up two-step verification, GoWarehouse gives you 10 backup codes that you can use to sign in if you lose your phone.

Audit trail, integrations and app

Can I find out later who changed an order or document?

Yes. For every change to 16 document types, including orders and inbound receipts, GoWarehouse records who made it, where it came from (console, mobile app, API, AI assistant or import) and what changed. Audit records can only be added, never edited or deleted, so any dispute can be traced in full.

Is GoWarehouse API integration secure? What if a key leaks?

GoWarehouse stores only the encrypted API key, never the original. A key can be restricted to specific IP addresses, and regenerating a key invalidates the old one immediately. Every webhook notification the system sends carries a digital signature, so you can verify it really came from GoWarehouse and was not altered.

Is it safe to connect AI assistants such as Claude or ChatGPT to GoWarehouse warehouse data?

Before an AI assistant can read GoWarehouse warehouse data, the user must sign in and grant consent through the industry-standard OAuth authorization flow. Every change made by an AI assistant is labeled with its source in the audit trail.

Are sign-in credentials in the GoWarehouse mobile app secure?

The GoWarehouse mobile app keeps its sign-in credentials in the operating system’s secure storage, such as iOS Keychain or Android Keystore. They are bound to the signed-in device and rotated automatically. The lockout after repeated failed passwords applies to the mobile app as well, and you can set the app to require signing in again after a period of inactivity.
